RIVERcamp Bookings

Before you book into RIVERcamp, please take a few moments to read through our terms and conditions.  They will provide you with important information before you hit the lovely green BOOK NOW button!

Terms and Conditions

• Bookings with full fees must be received by 31 July 2012 to secure a place at this year's camp. All bookings require full payment at the time of booking and by the relevant payment deadlines to receive any early booking discount.
  
  
• All cancellations incur an administration fee of £10 per fee-paying delegate. Cancellations must be received in writing by 30 June 2012 otherwise full fees will be forfeited.
  
  
• Delegate places can only be substituted like for like (i.e. adult for adult place) when received by RIVERcamp in writing, from the group booking contact, before 30 June 2012. All substitutions incur a £5 administration fee per person.
  
  
• It is recommended that holiday insurance is taken out in case of unforeseen circumstances.
  
  
• No pets are allowed on site except for aid dogs. Please include details in your booking.
  
  
• No bikes are allowed on site.
  
  
• Your attendance at RIVERcamp implies your permission for RIVERcamp and its authorised agencies to reproduce your image, likeness and voice on albums, publicity and other media in the UK and overseas.  If you do not wish your child to be photographed, you must submit a letter stating this to the Team Leader of their children’s group on registration.
  
  
• For groups of under 18s not attending with parents, we need to know the adult who will be acting as the onsite responsible guardian.  Guardians must be 21 years of age or older, looking after up to six under 18s and not serving on a team.
  
  
• Family rates available when booked online for 1-2 parents with 2-6 of their own children aged 5-17yrs old. Under 5s are free.  These discounts are only available online.
  
  
• Day passes can be booked online, or on the day, subject to availability.
  
  
• Fees are determined by age as at 22 August 2012. Full fees must be received by the payment deadlines in order to qualify for discounts.
  
  
• Reduced payment deadlines are strict and RIVERcamp can take no responsibility for postal delays. Payments include entry to all venues (subject to capacity), use of facilities and a camping pitch for those booking onsite tickets.
  
  
• Electrical Hook-ups must be booked by 31 June 2012.  Electricity is provided by generators from 7am to midnight.
  
  
• Requests to camp with a particular church or group must be received by 31 July 2012. Unfortunately we cannot guarantee to meet requests for different churches to be camped together. Caravans and Campervans may not always be positioned next to the tents from the same group due to available space.
  
  
• Places in the Creche, Little Fishes and RIVERkids must be booked by 31 July 2012, as places may not be available in these venues for bookings after that date.
  
  

Deadline Summary

Please note these dates are strict and we can not be responsible for delays by external agencies including the Royal Mail, banks and other suppliers. The stated dates relate to the day payment and information is with us, not the date of posting. Only full payment can be recieved at the time of booking and needs to be made by the stated deadlines to receive the discounts. To ensure your booked at RIVERcamp 2012, you will need to book by 31 July 2012.  After that date, you may not be able to book until the event commences, subject to availability.

Cancellation deadline, subject to £10 administration fee per person.
Substitution deadline, subject to £5 administration fee per person.
Electrical hook booking deadline ups.  £30 per hook up.

31 July 2012
Requests to camp with a particular church or group must be received by this date.
Tickets ordered after this date, subject to availability, must be collected onsite by producing your booking confirmation and photo ID.
Places for creche, Little Fishes and RIVERkids must be booked by this date as places may not be available in these venues for bookings received after that date.

Refunds
In the unlikely event that you find you have been charged more than you have authorised on your credit or debit card, please forward a photocopy of your bank statement with the relevant charges highlighted.

Cancellations
In the unfortunate event of you having to cancel, please notify us in writing. RIVERcamp will retain a £10 cancelation fee for each fee-paying person that cancels.  Please note that unfortunately cancellations received after 30 June 2012 will forfeit all fees.

Substitutions
If you have paid for a place and want someone else to take it, we will require notice of this in writing before 30 June 2012. Delegate places can only be substituted like for like (i.e. adult for adult place).  Include your booking reference number, name of the person who is no longer coming and the name of the person taking their place. There is a £5 administration fee for making a substitution.

Securing a place
Please note that the RIVERcamp site and venues do have a maximum capacity and therefore we are legally bound to close the doors to bookings should we reach that capacity. We therefore recommend that you book in advance to avoid disappointment.

Insurance
RIVERcamp does not operate a holiday insurance or cancellation scheme. If you require this cover, you will need to obtain your own insurance.
